Here’s how filling a daycare spot usually goes: you check your list, find the next family, text or call them, wait a few days for a reply, try again, eventually hear back, confirm the start date, update your spreadsheet, and repeat if they can’t take it. On a good week, you fill the spot in a few days. On a bad week, it drags on for two weeks, the spot sits empty, and you’ve lost revenue you’ll never get back.
Wee Queue flips this entirely. Today we’re talking about the offer workflow — the part of the platform that takes a spot from open to enrolled with a single click from you, and handles everything else automatically.
The Full Lifecycle
Every spot offer goes through the same stages:
Open Spot → Create Offer → Family Notified → 48-Hour Window → Accept or Decline or Expire
You control the first step. The rest runs on its own.
One Click to Start
From your waitlist dashboard, you’ll see your queue sorted by position. Next to each eligible family — meaning their child’s age fits the spot, and their preferred start date aligns with when the spot is available — you’ll see a Create Offer button.
You click it. That’s your one step.
Wee Queue sends the family an email immediately. It tells them a spot has become available, gives them the details, and includes a link to a dedicated offer page where they can respond. The clock starts.
A 48-Hour Response Window
Families get 48 hours to respond. You can configure this as 48 calendar hours or 48 business hours — the business hours option automatically skips weekends, so a family who receives an offer Friday afternoon isn’t on the hook to respond by Sunday morning.
Four hours before the deadline, the family gets an automatic reminder email. No action needed from you.
If the deadline passes and the family hasn’t responded, the offer expires automatically. Their entry stays in the queue — they just pass on this particular spot — and the next eligible family is ready to be offered.
You don’t have to track any of this. You’ll get an email notification when each offer is created, accepted, or when a family passes — so you’re always in the loop without having to babysit the process.
The Acknowledge Button
Sometimes the right next step isn’t an email — it’s a conversation. A family might want to visit the space, ask some questions, or just talk it through before they commit.
When you click Acknowledge, you’re signalling that a real conversation has started. The 48-hour response window is no longer relevant at that point — the family isn’t racing a deadline, they’re in active dialogue with you. They can tour the facility, ask their questions, and then accept or decline when they’re ready. The offer stays live until one of you closes it out.
What Happens When They Accept
The family clicks Accept on their offer page, and Wee Queue handles the confirmation: the child moves into an enrolled state, the spot is marked as filled, and the family gets an enrollment confirmation email with their expected start date.

What Happens When They Decline (or Pass)
Not every family can take a spot when it comes up — life happens, circumstances change. When a family declines (or their offer expires), they’re marked as having passed on this spot, but they keep their place in the queue. They’ll be eligible for the next offer when another spot opens up.
The spot re-opens, and you can create a new offer for the next family in line. Same single click. Same automated process from there.
What This Looks Like in Practice
You open your admin dashboard on a Tuesday morning. You see a spot is available. You find the top eligible family in the queue — their child is 14 months, the spot is in your infant program, their preferred start date lines up. You click Create Offer.
Wednesday afternoon, the family clicks Accept. You get an email. The spot is filled.
You did two things: opened your dashboard and clicked one button. Everything between that click and the enrollment confirmation — the email, the deadline, the reminder, the status update — happened without you.
If they’d passed, they’d stay in the queue and the next family would already be in position. You’d click one more button.
The Key Message
